Users & Access
Users are managed within your organization. Organization administrators can invite teammates, assign organization roles, manage facility access, and deactivate or reactivate users.
Open Users
- Select the organization you want to manage in the app header.
- In the primary sidebar, open Admin and select Users.
- The Users page lists people who belong to the selected organization.
If Users is not available, ask your organization administrator to review your access.
Invite a user
- Select Invite User.
- Enter the user’s email address. First and last name are optional.
- Select the user’s organization role.
- Select Send Invitation.
Coyote sends the user an email with a link to set up their password. If the email already belongs to a Coyote user, the invitation adds that user to the selected organization.
Assign roles and facility access
Open a user from the Users list and select Roles & Access.
- Organization Admin gives the user organization-level administration and access to all facilities.
- Organization Roles control what the user can do across the organization.
- Facility Access controls which facilities a non-admin user can access and the level of access they have: No access, View only, Operator, Manager, or Admin.
Select Save or Update after changing roles or facility access.
Manage an existing user
From a user’s profile, organization administrators can:
- edit the user’s name and profile details;
- resend an invitation while the user is still pending;
- set a new password when self-service recovery is unavailable;
- deactivate an active user; and
- reactivate an inactive user.
Deactivated users cannot sign in until they are reactivated.
Invitation and access issues
| Issue | What to do |
|---|---|
| The user did not receive an invitation | Check the email address, ask the user to check spam or junk mail, then select Resend Invitation from the pending user’s profile. |
| The user cannot see a facility | Open Roles & Access and review the user’s facility access. |
| The user cannot sign in | Have the user use Forgot your password? on the sign-in page, or set a new password from the user’s profile. |
| The Users page is unavailable | Ask an organization administrator to review your access. |
