Driver Assignments

Coyote separates driver management (compliance records for your organization) from driver on a load (the name or agent linked to a specific transaction).

  • Admin → Drivers — create and maintain driver profiles, documents, and sharing.
  • Transaction detail — shows which driver handled a load (from import text, LoadCall, or linked agent).

There is no separate “assign driver to load” wizard in the current app; driver names on loads typically flow from imports or LoadCall, and display resolves to a registered driver when a match exists.

Open Drivers

  1. Go to Admin → Drivers in the sidebar.
  2. The Drivers list shows all drivers in your organization.

You need org:drivers:list to view the list.

Click a row to open the Driver detail page.

Add a driver

  1. Click Add Driver.
  2. Enter first name, last name, and optional contact fields.
  3. Save.

Requires org:drivers:create.

Driver detail page

The detail page has tabs for profile, documents, and sharing.

Overview / edit

  • Edit name, email, phone, license number, active status, and notes
  • View compliance summary badge (derived from profile expiry dates)

Extended compliance and employment fields:

Coyote calculates compliance from tracked expiries:

  • CDL
  • Medical card
  • HazMat endorsement
  • TSA background check

Expiring Soon = within 30 days. Expired = past due date.

Documents tab

Upload and manage compliance documents:

  • CDL copy, medical certificate, MVR
  • HazMat, H2S, tanker, defensive driving, spill response certificates
  • TSA background check, drug test, insurance, and other types

Each document can be downloaded or removed (with appropriate permissions).

Requires org:drivers:update to upload documents.

Sharing tab

Carriers can share a driver profile with a measurement company organization:

  1. Open the Sharing tab on the driver detail page.
  2. Click Share to Organization.
  3. Select the target organization and options.
  4. Save.

Shared drivers give the measurement company read access to compliance data for terminal operations. Use Sync and Revoke on existing share links as needed.

Requires org:drivers:share.

How drivers appear on loads

On Transactions → detail → Parties:

If the import contains a driver name that matches a registered driver or partner agent, Coyote may link the agent record. Otherwise the raw driver name from the file is shown.

Recommended practice for trucking companies:

  1. Create the driver before they haul loads to your terminal accounts.
  2. Keep CDL and medical expiries current in the Profile tab.
  3. Store certificates under Documents.
  4. Share the driver with measurement companies that operate your terminal imports.

Partner portal drivers

Carriers with Partner Access can manage their own drivers in the Partner Portal (/portal/drivers) with the same profile, document, and compliance patterns. Measurement companies view shared driver compliance when reviewing terminal activity.
